Overview

International participants traveling to Bellevue, Washington for the AI-Empowered Industry Applications Workshop may require a visa to enter the United States. Please review the following information to determine your visa requirements and begin the application process as early as possible.

Do You Need a Visa?

  • Citizens of countries participating in the U.S. Visa Waiver Program (VWP) may enter the United States for business or tourism purposes without a visa for stays of up to 90 days.
  • Visa Waiver Program travelers must obtain an approved Electronic System for Travel Authorization (ESTA) before departure.
  • We recommend applying for ESTA at least 72 hours before travel.
  • Travelers from countries not participating in the Visa Waiver Program should apply for a B-1 Business Visitor Visa or B-1/B-2 visa, as appropriate.
  • Visa processing times vary by country and season, and may range from a few days to several months.
  • We strongly recommend beginning the visa application process at least 3-4 months before the workshop date.

Invitation Letters

To support the visa application process, the organizing committee can provide an official invitation letter confirming participation in the workshop.

Important Notes:

  • The invitation letter is issued solely for visa application purposes and does not imply financial support.
  • The letter does not guarantee visa approval. Final decisions are made by U.S. consular and immigration authorities.
  • Invitation letters can only be issued to registered participants who have completed payment or confirmed speaking invitations.

How to Request an Invitation Letter

Please send an email to pub@agist.org with the subject line Visa Invitation Letter Request.

Please include the following information:

  • Full name exactly as shown on the passport
  • Affiliation / institution and job title
  • Passport number and nationality
  • Paper title (if you are an author or presenter)
  • Registration confirmation number or proof of payment
  • Mailing address if a physical copy is needed

Please allow 5-7 business days for processing. Early requests are strongly recommended.

Important Reminders

  • Apply early: U.S. visa appointment availability may be limited.
  • Bring documentation: carry your invitation letter, registration confirmation, and workshop details to your visa interview and while traveling.
